Korbyt Bookit – Adding Collaboration

• Use the Search Panel to identify criteria for your booking
  
• Select a space, if you would like to include services, see Add Services
• Click, Next
• Complete Booking Details then use the Collaboration dropdown to select the platform you would like to use: Zoom, Teams or Webex

Korbyt Bookit – Adding Services

• Use the Search Panel to identify criteria for your booking
  
• Select a space and click Add Services
• Services are displayed alphanumerically by category, subcategory and item
• Select the quantity of the service item(s) you want added to your booking and click the Add button
• The Start Time and the Finish Time of the service can be modified
• You can add a note to your service item(s) by clicking the notebook icon once they are added to your booking
• Once you have added the desired services to your booking, click Next and complete your booking by completing the Booking Details

Korbyt Bookit is the end user interface for the Korbyt Booking resource management and scheduling solution.
Korbyt Bookit is available on the web and as an Outlook plugin.

Creating a New Booking

• The New Booking screen displays upon log in
  
• In the Search Panel, enter your space criteria
  • Find starts a standard search and shows a list view of matching spaces
    
  • Floor Plan starts a visual search of matching spaces
    
• Select a space
  • From the standard search, you can select the Advanced Filter to narrow your search results by room features
  • In the search results, the icons to the right of each space name indicate the maximum capacity and features
  • Select your space by clicking on the exact match time slot or the check the box to the far right of the space
    
• Add Services
  • From My Selection, click Add Services to view the bookable services and equipment
    
  • Click Add next to the service or equipment you would like to book
• Add People
  • Search for internal or create new external attendees to add to your booking
    
• Add your Booking Details
  
• Complete your booking by selecting the Book button
  

Viewing and Editing Bookings

Through the Bookit interface, viewing and editing is only available in the web version.
In Outlook, events can be viewed and edited directly from the event in your Calendar.

• Click My Bookings to view your meetings
  
• To edit a booking, click the edit pencil icon next to the booking then click the menu to view the editing options
  
  
  • In Outlook, you can edit details by opening the event and relaunching the Korbyt Bookit addin

This guide reviews the basics of using the Korbyt Booking system through the CMS interface to create and edit bookings.

Viewing Korbyt Booking and the Calendar Dashboard

• Log into your Korbyt CMS
• If you have multiple Korbyt products
  • open the Mega Menu
  • Select Korbyt Booking
    
• You should now be seeing your Calendar Home Screen
  • You can also select the Calendar Home Screen by clicking onin the Mega Menu

Navigating the Calendar Home Screen

Your calendar serves as a dynamic dashboard and scheduling tool.
It shows the status of bookings, room availability, services, and more all in real time.

Quick Booking via the Calendar

You can create new bookings from the homepage calendar view

• Double-click the time block for the resource you would like to book
   
• Enter the Title and Booking Details
• Click Save to schedule the meeting
  
  • Or click Advanced Options to continue the booking in the full Booking Menu

Editing Bookings via the Calendar

You can modify your booking right from the calendar.
Simple changes can be made without opening your booking. 

• Hover your mouse over the event to see more event details
  
• Right-click on the event to open the quick action list
  
• ​Double-click to open the event in the Booking Menu to make complex changes

Creating a New Booking via Bookings Menu

• Open the Mega Menu 
• In the Bookings column click New Booking
• You will see the full New Booking screen
  
  • Booking Information (Title, Host, etc.) is to the left
  • Specific meeting detail sections are listed across the top of the working area
• Fill in the details of the type of space you require then and click Search
• You will then see available spaces that match your requirements
• Click +Add to select the resources needed
  
  • A single booking can include multiple rooms
• Click Continue in the lower right to confirm your resource selections
  
• You can now move through the other sections of the booking details by clicking the section at the top
• Meeting recurrence can be selected using the blue navigation bar
  
• At any time, you can use the Confirm button dropdown in the upper right
  
  • Save will save your selections up to that point and leave you in the editing screen
  • Save & Exit will save your selections and return you to the Calendar Homepage
  • Exit without saving will abandon your selections

• Attendees can be internal or external to the organization
  
  • For Internal click the +Add Attendees button
    • Use the popup to search for the internal resource and set their booking role
      
    • Click Add to finalize
  • For External Attendees fill in their info and click save
  • Either use the Confirm drop down to save or move on to the Services section

• Services that have been defined within your system (AV/IT, Catering, etc.) can be added to your booking
  1. Click the Services button in the top ribbon
  2. Navigate to the Department tab of the service(s) you would like to add (or search all services)
  3. Edit the quantity as needed, click Add
  4. Your service item(s) will be added to your booking on the right

• Booking Summary shows all the details for the meeting that have been selected
  

• Remember to use the Confirm button dropdown in the upper right to save your meeting details

Searching For and Editing Bookings

• Open the Mega Menu 
• In the Bookings column select click Booking Search
• You will then see the Booking Search screen
  
• Enter your search parameters and click Search
• Bookings that match your criteria will show in the list
  
• Click on the Booking Title to open the meeting in the full editor
• Use the Copy / Move / Recur buttons to take those actions

Canceling a Booking

A booking can be canceled from the Calendar Homepage

• Right-click on the event in the Calendar
• Hover over Cancel at the bottom of the list
• Select the type of cancelation you want

Bookings can also be canceled from within the full editing menu

• Search for and open your booking for editing
• In the left configuration panel, switch the status to Cancelled
• OR click Cancel in the blue navigation bar

Navigating the Home Screen

The home screen of the mobile app gives quick access to the most used Booking functions

Book a Room or Desk

• Click Book A Room or Book A Desk
  
  
• Enter your criteria and click Search
  
  
• You will then see a list of available spaces
• Select a room or desk by tapping on it
  
  • If you are booking a Desk next you will add a Title, any optional notes, an Tap Confirm Booking
    
• For Room bookings, you will next be able to add Attendees and Services
  
• Adding Attendees is optional BUT can not be done in the Mobile App after the booking is confirmed
  • Tap Add Attendees to search for and select attendees
    
• Services can be added now or later in the My Booking section
  • Tap Add Services
  • Select the services required by tapping the checkbox to the left
  • Select the quantity of services on the right
    
  • Tap Continue
• Booking Summary
  • Add a Title for your event (required) and any Notes (optional)
    
  • Tap Confirm Booking
• You will see the Booking Confirmation Screen

View Existing Bookings / Add Services / Cancel Bookings

You can see bookings you have created or been invited to as an attendee

• From the Home screen tap My Bookings
  
• You will see a list of upcoming bookings you are associated with
  
• Taping an event will open the booking
  
• From here you can tap
  • Locate on Floorplan to see a map of the room’s location
  • Add Services to add any available services see adding services in creating a booking
  • Cancel Booking if you are a meeting owner or host
    • You will be asked to confirm the cancelation
  • Check In or Check Out of a meeting if it is the scheduled meeting time see Check In/Out of a Booking

Check In/Out of a Booking

You can Check In/Out of a booking from either the My Bookings menu or using a room/desk QR code

My Bookings

• From the Home screen tap My Bookings
  
• Select the booking
• Tap the Check In button to start, Check Out to end

QR Code

• From the Home screen tap Scan on the home screen
• Scan the QR code
• Tap the Check In button to start, Check Out to end
